SPEAKER AGREEMENT TEMPLATE FAQ

What is a speaker agreement?

A speaker agreement is a contract between an event organizer and a speaker that sets the terms of a speaking engagement. It typically covers the event details, talk topic, length, format, compensation, expenses, cancellation rules, and what rights the organizer has to record or reuse the speaker’s content.

When should you use a speaker agreement?

Use it as soon as a speaker is booked and before the event is promoted publicly. It’s especially important if the speaker is paid, travel is covered, the session will be recorded, the speaker will provide materials (slides/handouts), or the organizer plans to reuse the recording for marketing or paid access.

What should be included in a speaker agreement?

It should include the event name, date, time, location, talk title and format, speaker deliverables (slides, bio, headshot), compensation and reimbursement terms, travel and lodging details, recording and content rights, confidentiality, cancellation and substitution rules, and liability/indemnity basics.

Who owns the slides and can the organizer record the talk?

Usually the speaker owns their slides and original content, while the organizer receives a license to use it for event operations and agreed marketing. Recording rights should be stated clearly—whether recording is allowed, who owns the recording, how it can be used, and whether the speaker can approve edits or distribution.

What happens if the event is canceled or the speaker can’t attend?

Most agreements include cancellation terms, such as a cancellation notice period, partial payment or a kill fee if the organizer cancels late, and whether the speaker can participate remotely or be rescheduled. Clear rules reduce disputes and make planning easier.
